If you’re after easy set up web based CRM databases are the best choice. Unlike desktop or internally hosted CRM software there is no need to purchase new hardware or waste money on costly internal server equipment. That said, there are still a few steps you should take to achieve the most efficient CRM database implimentation.
Step 1: The Right Web Based CRM Database.
Having the right system for your business will make the whole process run so much smoother. Things to look for are ease of use, simple screen layout and speed. Most web based CRM providers will give you either a free demo account or a 30 day trial period. Don’t be afraid to try a few systems out before you make a decision. It is very hard to change your CRM database once it is established, so getting it right from the beginning will save you time and money. Another area you should flag is training. Make sure the web based CRM database you prefer includes training videos or check how much it will cost to have a consultant provide training to your staff. There is no point having the system if your staff can’t use it.
Step 2: Make Sure Your Software Is Compatible.
Generally you can use your existing hardware with most Web Based CRM database systems but you may have to upgrade your software. Web based CRM systems are accessed via the internet, so the key software is your internet browser. Just ask the CRM provider which is the best browser for their system and what software updates they recommend. Most of these updates will be inexpensive or free but they will make a noticeable difference to how your software performs.
Step 3: Upload Any Previous Data.
If you already have a sizable client database you will need to transfer your data over to the new system. You have two options when it comes to uploading the data to your new system: manual or automatic.
A manual upload is the ideal solution. By entering your records manually you can eliminate dead client records, duplicate records and out of date files that would just slow your new system down. However this is very time consuming and not possible for every business. If you just can’t manage a manual data upload try to remove as many of the contaminated records as possible before transferring the data.
Step 4: Customization.
Once you’ve been using the system for a while (at least 3 months) you will have enough experience with the database to look into customization options. Make a list of current inefficiencies and possible system enhancements. Break this list down into 2 categories; ‘essentials’ and ‘nice to haves’. Some systems offer user customization but most web based CRM databases don’t. So it helps to be clear on your priorities before you approach your CRM provider for a quote.
